The Guitar Is Most of This Problem — and the Headstock Is Most of the Guitar
Most people searching how to ship an instrument are shipping a guitar, and nearly every guitar that arrives damaged fails in the same place: the neck, right at the headstock. Understanding why makes the whole packing job obvious. A guitar is a long lever with a heavy body at one end and a thin neck at the other, and when a box is dropped on its end, all that momentum concentrates at the neck's weakest cross-section — the headstock transition — often snapping it clean. This is especially true of set-neck and angled-headstock guitars (many Gibsons), where the grain runs across a thin point.
So the entire strategy is: neutralize the forces that reach the neck, and make sure the guitar can't move inside its case or the case inside the box. Detuning, neck support, and immobilization all serve that one goal. Get those right and a guitar survives the parcel network's worst handling; get them wrong and even a $50 shipping upgrade won't save the neck.
⚠️ The single most common guitar-shipping disaster is a snapped headstock from an end-drop. It is almost entirely preventable with detuning + headstock support + a case that can't shift — and almost never covered if you shipped in a gig bag or without proper packing.
Detune, Support the Neck, Immobilize Everything
Detune the strings before shipping — but don't slacken them completely. Loosening a half to full step relieves the tension that would otherwise stress the neck as temperature and humidity swing in transit, while leaving just enough tension to keep the truss rod and neck in their normal working relationship. Fully removing all string tension can actually let the neck shift, and on some guitars lets loose string ball-ends rattle against the finish. A half-to-full step down is the sweet spot the repair community recommends.
Next, support the neck and fill every void. Inside the case, pack rolled bubble wrap or foam under the headstock so it's cradled and can't slam down, and pad around the neck so it can't shift side to side. Fill the case's internal gaps — around the body, in the accessory compartment — so the guitar is locked in place and can't rattle. For acoustics, gently stuff the soundhole with paper to keep the top from flexing. Then the case itself gets immobilized inside the shipping box: the guitar shouldn't move in the case, and the case shouldn't move in the box.
- Detune a half to full step — enough to relieve tension, not so much the neck goes slack.
- Cradle the headstock with rolled padding so an end-drop can't snap it.
- Fill all case voids so the guitar can't shift; stuff acoustic soundholes with paper.
- Immobilize the case inside the box — guitar can't move in case, case can't move in box.
Hard Case, Double-Box, and the Gig-Bag Trap
A hard case is non-negotiable for shipping a guitar, and most carriers effectively require one. The reason sellers learn the hard way: a gig bag offers almost no shock protection, so a dropped box transfers the full impact straight to the neck. Shipping a guitar in a gig bag is the fastest route to a broken headstock and a denied claim. If a piece only has a gig bag, the move is to buy or borrow a hard case, or have a shop pack it in a made-to-fit guitar shipping box with internal bracing.
Even with a hard case, double-box high-value guitars: the case goes inside a larger box with a few inches of foam or bubble on every side, which absorbs the end-drops that would otherwise reach the case and neck. Mind the size limits, too — USPS caps parcels at 108 inches length-plus-girth, which most electric cases clear but some large acoustic cases exceed; UPS and FedEx Ground handle oversize guitar shipments more reliably, which is why Reverb, Sweetwater, and Guitar Center ship on them rather than USPS. Mark the box 'FRAGILE' and orient it so the guitar rides flat, not standing on its end.

Climate, Insurance, and the Other Instruments
Wooden instruments are climate-sensitive, and transit is a climate roller-coaster. Rapid temperature and humidity swings can crack tops, lift bridges, or cause finish checking, which is the second reason (after string tension) to detune and to avoid shipping fine acoustic instruments during temperature extremes when you can. There's little you can do to control the truck, but detuning, a snug hard case, and avoiding the worst weather windows meaningfully reduce climate damage. Always insure at full replacement value — instrument shipping damage runs from hundreds to thousands of dollars, and the declared-value premium is trivial by comparison.
The same principles scale to other instruments with adjustments. Violins and other stringed instruments follow the same hard-case, detune-slightly, immobilize rules. Keyboards ship best in their original box or with three-plus inches of foam on every side. Brass and woodwinds need their case plus heavy padding around the vulnerable bell and keys. Drums ship as individual pieces or well-separated within a large padded box. Full acoustic pianos are the exception to everything here — they require specialized piano movers, not parcel carriers. For anything valuable, add signature confirmation so a four-figure instrument isn't left unattended on a porch.
