Remove the Ink or Toner Before You Ship
The defining mistake in shipping a printer is leaving the cartridges in. Inkjet cartridges leak — the pressure and temperature changes of transit push ink past the seals, and a leaked cartridge stains the printer's interior, the packaging, and sometimes voids the machine. Laser toner is worse in its own way: it's an extremely fine powder that escapes a jostled cartridge and coats everything in a mess that's genuinely hard to clean, and toner dust is combustible in the right conditions. Either way, the cartridges do not belong installed during shipping.
Remove ink and toner cartridges, seal each one in its own zip bag (ink cartridges especially, so any residual leak is contained), and pack them separately from the printer. Some printers have a transport or shipping mode that parks and secures the print head and cartridge carriage — use it if the machine has one. If you must ship a cartridge, bag it and orient it correctly; if you can ship the printer empty and let the buyer install fresh cartridges, that's cleaner still. This one step prevents the single most common printer-shipping disaster.

Lock the Carriage and Protect the Print Head
A printer, like the 3D printer it's often confused with, has moving parts that need restraining. The print-head carriage on an inkjet slides across a rail, and left free it travels back and forth in transit, stressing the belt and the head and knocking the mechanism out of position. Many printers have a physical carriage lock or a shipping mode that parks and secures the head — engage it. If there's no lock, gently secure the carriage so it can't slide, without forcing it against its stops.
The print head itself is the printer's most delicate and expensive functional part, and on many machines it's integrated with the mechanism rather than the cartridge. Protect it from impact and from anything pressing on it, and keep the machine level and upright so residual ink in the lines doesn't migrate. Scanner beds on all-in-one units are glass and should be treated as a fragile surface — some have a scanner-lock switch for transport. Immobilize what moves, protect the head, keep it upright: that's the mechanical half of printer packing.
Heavy, Bulky, and Built for the Weight
Printers are heavy and bulky — a laser printer or a large all-in-one is a serious lump, and office and production machines cross well into freight territory. That makes them weight-and-dimension shipments where ground service is the right call and the box must be genuinely structural. USPS caps out and handles bulky items less gently, so UPS Ground and FedEx Ground are the usual choices; for the heaviest office machines, freight on a pallet is the honest answer.
The original box is, as ever, the best container — printers ship from the factory in custom-fitted foam engineered for their weight and shape, and reusing it turns a hard shipment into an easy one. Without it, reconstruct the protection: the emptied, carriage-locked printer nested so it can't move, in a sturdy double-wall box, ideally double-boxed with a cushioning gap. Fill every void because a heavy machine shifting in a loose box punches out corners. Weigh the packed shipment and quote the real lane — printers are a category where sellers routinely underestimate both the weight and the box strength required.
Selling a Used Printer Honestly
Used printers are a practical, unglamorous market, and buyers care about function and running costs. Disclose the real state: page count if the machine reports it, the condition of the print head (clogged heads are a common and often fatal inkjet problem — say so), whether it currently prints cleanly, and any error conditions. Note the cartridge situation clearly — whether it includes cartridges, how full they are, and whether it uses expensive proprietary cartridges — because ink economics are often why someone is buying or avoiding a specific model.
Include what the buyer needs to use it: power cable, and ideally the USB cable, plus a note on driver availability for older models (a printer whose drivers are no longer supported is worth much less, and disclosing it is fair). Photograph the machine, a recent test print if you can produce one, and the cartridge bay. Remove and bag the cartridges, lock the carriage, box it for the weight, and describe the print quality and running costs truthfully — that's the whole method for a heavy, leak-prone machine that buyers judge on whether it actually prints.
