Etsy's built-in labels: what the discount really buys you
US Etsy shops can buy USPS and FedEx labels directly inside Shop Manager (Canadian shops get Canada Post), at rates below what you'd pay at the counter. The label cost is added to your Etsy payment account and netted against your sales, tracking uploads to the order automatically, and the buyer gets Etsy's branded shipping notifications. For a shop that only sells on Etsy, that's a genuinely good default.
The catch is the same as every marketplace label system: it only exists inside Etsy. The moment you sell the same ceramic mug through a craft-fair Instagram DM, a wholesale order, or a second marketplace, Etsy's label tool can't help — there's no order for it to attach to. That's the gap a standalone label maker fills: same clean 4×6 output for the orders Etsy never sees.
Calculated vs fixed-price shipping profiles
Etsy gives US sellers two ways to charge for shipping. Calculated shipping reads the weight and box dimensions you enter on each listing and quotes the buyer a live rate based on their address — accurate, but only as accurate as your numbers. Weigh the item packed, not naked: the mug is 14 oz, but the mug plus box, bubble wrap, and void fill is 22 oz, and that difference crosses a USPS pricing tier.
Fixed-price profiles charge every buyer the same amount, which is simpler and lets you advertise free shipping by baking postage into the item price. Most handmade shops converge on a hybrid: fixed price for small, predictable items (prints, stickers, jewelry) and calculated for anything heavy or bulky where a coast-to-coast rate difference would eat the margin.
💡 Shipping profiles are reusable — build one per package type (small envelope, medium box, tube) and assign it to dozens of listings. When postage rates change, you update one profile instead of two hundred listings.
Star Seller: shipping is a third of the badge
Etsy's Star Seller program grades shops monthly on three shipping-relevant behaviors: dispatching within your stated processing time, shipping with tracking (or an Etsy label, which tracks automatically), and keeping your message response rate up. The tracking requirement is what trips up shops that ship stamps-on-envelope untracked orders — those don't count, no matter how reliably they arrive.
Practically, this means every package needs a tracking number entered against the order before your processing window closes. If you buy postage outside Etsy, build the habit: print the label, buy postage, and paste the tracking into the Etsy order in the same sitting. A perfectly shipped order with tracking entered two days late still counts against the badge.
The US$35 free-shipping guarantee and search placement
Etsy gives priority US search placement to shops that guarantee free shipping to US buyers on orders of $35 and up. Turning the guarantee on means eating postage on qualifying orders — which only works if your prices absorb it. The standard move is Etsy's own smart-pricing tool or a manual pass: raise item prices by roughly your average per-order postage, then let the 'free shipping' badge do its search-ranking work.
For labeling, the guarantee changes the economics of every ounce. When shipping is free to the buyer, the seller feels every rate tier personally — so a shop that trims one package from 17 oz to 15.9 oz, or downgrades a box to a rigid mailer, pockets the difference on every single qualifying order.
Customs forms for handmade exports
International Etsy orders need a customs declaration — CN22 for most small merchandise, CN23/commercial invoice above roughly the £270/$400-class thresholds carriers use — and 'handmade item' is not an acceptable contents description. Customs officers want specifics: 'ceramic coffee mug', 'sterling silver earrings', 'cotton tote bag', with honest values matching what the buyer paid.
If you buy the label through Etsy, the customs form is generated from your inputs during purchase. Shipping outside Etsy, you'll complete the form at the carrier — USPS builds it into international label purchase flows. Either way, the label this tool generates covers the address block; the customs declaration always travels as its own document or integrated label section.
ℹ️ EU-bound orders: Etsy collects VAT on qualifying orders at checkout and provides an IOSS number that must be transmitted electronically with your shipment data — ask for IOSS handling at the counter rather than writing the number on the box.
