How to Make a Shipping Label (Step-by-Step Guide)
Updated for 2026. Takes about 60 seconds.
Creating a shipping label is simpler than most people think. You don't need a shipping carrier account, expensive software, or a trip to the post office. With a free tool like ShippingLabel, you can create professional shipping labels from your computer in under a minute.
Step 1: Enter Your Sender Address
Start by filling in the “From” section with your return address. This includes your name (or business name), street address, city, state, and ZIP code. If you ship regularly, ShippingLabel Pro lets you save addresses so you never have to type them again.
Step 2: Enter the Recipient Address
Fill in the “To” section with your buyer's or recipient's address. Double-check spelling and ZIP codes — address errors are the #1 cause of delivery failures. If you're shipping eBay or Etsy orders, copy the address directly from the order details.
Step 3: Add Package Details
Enter your package weight (pounds and ounces) and dimensions if applicable. Select the package type: Box for standard packages, Envelope for flat items, Flat Rate for USPS Flat Rate boxes, or Tube for posters and rolled items.
Step 4: Choose Your Label Options
Select your preferences:
- Label size: 4x6 inches for thermal printers (most common), or Letter size for regular printers
- Carrier format: Generic, UPS-style, USPS-style, FedEx-style, or DHL-style
- Special markings: Add FRAGILE or THIS SIDE UP indicators for delicate items
- Barcode: Include a barcode area for tracking reference
Step 5: Download and Print
Click “Download PDF Label” to get your print-ready file. Open the PDF and print it. The most important print setting: make sure your printer is set to “Actual Size” or “100%” — do NOT use “Fit to Page” as this will resize your label and may cause scanning issues.
Print Settings Checklist
- Paper size: Match your label (4x6 for thermal, Letter for standard)
- Scaling: Actual Size / 100% / None
- Orientation: Portrait
- Margins: None or Minimum
What About Postage?
ShippingLabel creates the label layout — the formatted document with addresses, barcodes, and handling marks. Postage (the actual shipping cost) is purchased separately through your carrier of choice: USPS.com, UPS.com, FedEx.com, or discount services like Pirate Ship. This keeps things simple and gives you the freedom to choose the best rate.
