How to Send Someone a Prepaid Shipping Label

Sending a prepaid shipping label means you create and pay for the label, then deliver it to the person who needs to ship the package — so they don't have to pay or create anything. You can send prepaid labels by email as a PDF, by text message as a QR code, or by printing and mailing the physical label. This guide covers all three methods for USPS, UPS, and FedEx.

    Create and pay for the label

    Go to USPS Click-N-Ship, UPS.com, or FedEx Ship Manager. Enter the package origin address (where it will ship FROM — the other person's address) as 'From,' and your address as 'To.' Choose your service, pay for postage, and download the PDF. Alternatively, use Pirate Ship for lower USPS rates — create the label, then use their 'Email Label' feature.

    Send by email (most common)

    Open the downloaded PDF and email it as an attachment directly to the person shipping the package. Subject line tip: 'Prepaid shipping label enclosed — please print and attach.' They print it, attach it to the box, and drop off at any authorized carrier location. Done.

    Send by QR code (no printer needed for recipient)

    UPS: When creating the label on UPS.com, select 'Email QR code to recipient' and enter their mobile number or email. FedEx: In FedEx Ship Manager, choose 'Send label to recipient via QR code.' The recipient shows the QR code at a UPS Store or FedEx Office and staff print it free. USPS does not have a native QR-to-print service.

    Send by physical mail (slowest option)

    Print the label yourself, put it in an envelope or poly mailer, and mail it via USPS First Class. Add 'Do Not Bend' on the envelope. The recipient peels the label from the backing (if thermal) or tapes it to the box. This adds 2–5 days to the timeline but works when the recipient has no email or printer.

    Confirm the package was dropped off

    Once the recipient drops off the package, tracking activates within a few hours. Check the tracking number from your label to confirm it entered the carrier's network. If you don't see a scan within 24–48 hours of when they said they dropped it off, follow up — sometimes packages get dropped without being scanned.

Good to know

  • Always double-check the 'From' address on the label — it must match where the package is shipping from, not your address. Common mistake: creating the label with your own address as both From and To.
  • For peer-to-peer sales (eBay, Facebook Marketplace), USPS Ground Advantage via Pirate Ship is usually the cheapest prepaid option. Most packages 1–5 lbs ship for $5–$9.
  • FedEx and UPS QR code delivery is the best recipient experience — no printer required. Most FedEx Office and UPS Store locations offer free label printing from QR codes.
